What it handles

  • Daily sales and cash-up: one close per trading day across every way you take money, such as cash, Octopus, FPS and PayMe. A day you are shut posts nothing.
  • Settlements: Octopus and card payouts are matched when they reach the bank, with the fee shown on its own line.
  • Supplier bills and receipts: bills and receipts are recorded against the right supplier, and you can see which bill is due when.
  • Ingredient and stock costs: a register of what you buy, who you buy it from and what it cost, with a reorder level for each item.
  • Staff MPF: wages and MPF contributions are recorded in the books, and each staff member's yearly figures are kept for the employer's return.
  • Bank feed: your business account is reconciled automatically.
  • Monthly statements: income statement, balance sheet and cash flow every month, ready for your accountant.

Hong Kong rules your books need to cover

  • Business records, including your daily sales and supplier bills, must be kept for at least 7 years for the Inland Revenue Department.
  • Staff bring MPF and employer's return duties (IR56B, IR56E), and payments to freelancers may need an IR56M. Suma keeps the wage and MPF records your accountant needs.

How it starts

  1. A call about how your shop runs today.
  2. We build the app from your records.
  3. You use the finished app free for 14 days.

Funding you may be able to use

Cyberport's Digital Transformation Support Pilot Programme (DTSPP) subsidised digital tools for Hong Kong food and beverage, retail, tourism and personal services SMEs on a 1:1 matching basis, up to HK$50,000 per business. The first round closed to new applications in May 2025, and the Government has said an enhanced round is planned for the second half of 2026. Check the official page for whether it is open and what it covers.

FAQ

We use a till. Do we have to change it?

No. We start from the daily totals your till already gives you, and you record each day's close in the app.

What happens on a day we are closed?

Mark the day closed and nothing is posted, so a shut day never reads as a bad one.

We have a few staff on hourly pay. Can it handle that?

Yes. Hours are written down as they are worked and costed at each person's rate, so wages land in the month that earned them.
